Terms and Conditions
These Terms and Conditions outline the rules and regulations guiding the use of VideoPhotoPost services. By using our services, you acknowledge that you have read, understood, and agree to be bound by the following Terms and Conditions:
1. Our service
VideoPhotoPost services offers an integral editing service, including the following features:
- Footage culling.
- Soundtrack selection and licensing from different libraries.
- Editing (cinematic and/or documentary style).
- Color correction and color grading.
- Audio editing and sound design.
- Project files delivery (assets, final cuts, music licenses, project file).
2. Communication
The main communication channel between the Client and the Project Managers is the VideoPhotoPost services platform. Communication through email will not be considered a primary follow-up channel.
All the projects of the same Client will be coordinated by one Project Manager; however, the assignment of a Project Manager will be arbitrary and may change along the way due to workflow organization.
3. Project Brief
The first step of our process when ordering a new project consists of filling out our project brief, which is a detailed form with mandatory inputs and questions. VideoPhotoPost services considers the project brief to be an essential tool, containing all the information we need to pursue the best outcome according to the client's needs and preferences.
VideoPhotoPost services will not be held responsible for any issues caused as a consequence of ambiguous or missing information in the project brief.
4. Matching process
Each project will be matched to the editor who best suits the project’s requirements and who will provide the most optimal turnaround time.
Once matched, the client will be notified of the delivery date.
In case of any setbacks with the delivery date, the client will be notified as far in advance as possible.
5. Editing process
Once the editing process starts, the Project Manager may contact the client to request additional information.
If the client requests to use any external plugins other than those included in the software “DaVinci” or “Premiere Pro” both the plugin and activation code must be provided.
VFX requested and approved to be done by the team will have an extra charge depending on the request.
VideoPhotoPost services will not be held responsible for software incompatibilities or extended delivery dates presented when working with libraries or project files sent over by clients.
6. Quality Control
Our Quality Control specialists are in charge of reviewing each video thoroughly to guarantee a final product that is consistent with the reference and data supplied by the client on the project brief.
This internal revision process is essential to achieving the standards pursued by the company. Therefore, the possibility of skipping this stage may not be requested at any time.
7. First delivery
The video/s will be delivered once the Quality Control specialist considers it ready to be sent to the client according to the information provided in the project brief on the established delivery date.
The delivery date established applies only to the first delivery of the films, therefore the final or last delivery of the project will be determined by the rounds of revisions required by the client.
VideoPhotoPost services will not be held responsible for missed deadlines established between the videographer and their clients.
8. Revision process
A client’s first project includes unlimited rounds of revisions.
After the first project, each project will include two (2) rounds of revisions. Extra rounds of revisions have an additional fee of $40.
Only when the Client informs through the platform that feedback was left on Wipster, the Editor will work on the requested revisions.
Internal revisions between Quality Control specialists and the Editor will occur until the updated film is ready to be sent to the Client.
To guarantee a smooth workflow, the client’s deadline to provide feedback is fourteen (14) days for the first film received and seven (7) days for the updated films received.
Feedback from the couple should be made within the established timeframe for feedback mentioned above.
VideoPhotoPost services will approve and close the project automatically in case of not receiving any feedback within the established timeframe mentioned above.
8.1 Major revisions
A Major revision is considered any revision that implies a significant modification to the structure of the videos:
- Change of reference video at any stage of the editing process.
- Addition of new material at any stage of the editing process.
- Soundtrack changes from the second round of revision onwards.
- And any other significant modifications to the structure of the video/s at the company’s discretion from the second round of revision onwards.
Additional fees for major revisions:
8.2 Time frame to provide feedback
The deadline to provide feedback is seven (7) days from the moment the video/s is delivered in any round of revision.
If no revisions are requested within this period, PhotoVideo-Post services will approve the films automatically.
8.3 Turnaround time for updated videos
The updated film/s (the new version of a film after feedback) will be delivered in a standard period of seven (7) days if the project is a project of up to two (2) videos and simple corrections.
All projects that include more than two (2) videos or major revisions (such as a soundtrack change, restructuring of the storytelling, change of reference, etc), may need more than 7 days to be delivered with the quality we aim for.
9. Project files
Only when all the videos within the project have been approved, the Client can request the corresponding project files.
Project files also go through an internal revision with our Quality Control specialist to ensure that these are delivered as clean and organized as possible. This process may take up to five (5) business days.
10. Media transfer methods
Raw media can only be delivered via:
- Dropbox and Google Drive links.
Our workflow is optimized for these servers; therefore, media transfers via cloud services other than Dropbox and Google Drive will not be accepted by PhotoVideo-Post.
11. Turnaround time and delivery dates
The turnaround time is updated every week on our website and platform. It is subject to demand and the availability of the editors of each editing software.
The delivery date of each project will be established once an editor has been matched to it.
VideoPhotoPost services will not take responsibility for delays in projects caused by:
- Missing or incomplete footage
- Additional footage included after the editing process has begun
- Additional videos added to a project after the editing process has begun
- Incomplete or ambiguous information on the project brief
- Delay or lack of response
- Delay in payments for extra fees
If any of the aforementioned circumstances arise, VideoPhotoPost services may decide to put the project on hold or move forward based on the team’s best criteria to preserve the quality and deadline.
The client will be notified if VideoPhotoPost services experience delays in delivering the video/s for any reason.
12. Soundtrack licensing
VideoPhotoPost services provides licensed soundtracks from Musicbed and Soundstripe.
Should the Client request to use unlicensed soundtracks, VideoPhotoPost services will not be held responsible for the licensing of music files without copyright permissions and/or any issues that might arise related to this.
13. Copyright and privacy policy
No attributes or recognition are required on our behalf.
VideoPhotoPost services is allowed to share the complete videos or parts of them for marketing purposes only when the Client agrees to it.
14. Reopening projects
The client can solicit to reopen a previously approved and closed project to provide new revisions.
To request new revisions, the following rates apply:
- If revisions are requested within 7 days of closing the project, a fee of $50 per video will be charged. This includes one (1) round of revision.
- If revisions are requested after 7 days of closing the project, a fee of $70 for re-downloading the material plus $80 per video will be charged. This includes two (2) rounds of revisions.
Delivery dates on a reopened project will depend on the turnaround time at the moment.
New videos cannot be added to an approved and closed project.
VideoPhotoPost services will aim to maintain the project’s original editor; however, if the editor is no longer available, the reopened project will be assigned to the following available editor.
15. Media storage
VideoPhotoPost services will store all the raw media provided by the Client for seven (7) days after the project is approved and closed. After this period, all footage will be permanently removed from VideoPhotoPost’s servers.
Once the project files are delivered, it is the Client’s responsibility to create full backups of all media provided. VideoPhotoPost service is not bound to keep the project files and/or apply any modifications after one (1) month of the delivery.
16. Payments
Full payment is required upfront before starting the editing process.
USD is the only currency accepted.
All extra fees will be invoiced via Payoneer.
Payments can be made by credit card, Payoneer, and/or wire transfers.
17. Cancellation and Refund Policy
The client may request to cancel a project at any given time; however, refunds for cancellations will depend on the stage of the project:
- If the editing process has not started: VideoPhotoPost services will provide a total refund.
- If the editing process has started: VideoPhotoPost services reserves the right to withhold any amount up to 100% of the total fee of the canceled item.
If the Client is not satisfied with the final product based only on subjective standards, PhotoVideo-Post Services will not take this as a valid reason for a refund, as the company has a thorough procedure to ensure that the client’s requirements are met.
This procedure includes:
- Onboarding approach through calls and/or written questionnaires.
- A project brief for the client to complete with the details and needs for every project.
- A matching system with an editing team that suits the client’s style.
- An internal database with relevant information that we gather from the client’s projects to ensure consistency.
- A Quality Control team that guides the editor to achieve everything that is set on the project brief provided by the client.
- Two rounds of revisions to request adjustments, allowing the team to deliver a project that reaches the client’s expectations.
18. Model release agreements
VideoPhotoPost service will not take any responsibility for any talent/model authorizations or permissions that may be required to feature people in the projects that VideoPhotoPost service edits.
